Explain the location rule for each workplace
CrewLoca can check a workplace boundary, record a location without a boundary, or require no location. Where required, location is requested at clocking actions. CrewLoca does not continuously follow movement or automatically clock a person in when they cross a boundary.
GPS accuracy and browser permissions affect a check. Give workers a clear way to report an inaccurate result and have it reviewed.
Choose a proportionate arrangement
Before monitoring workers, identify the purpose and lawful basis, explain the activity clearly and assess the privacy risks. ICO guidance says a data protection impact assessment is required where processing is likely to create a high risk. Consider whether a less intrusive approach meets the need.
Provide an appropriate privacy notice and decide access, retention and correction procedures. Do not describe installing the app or accepting location permission as a substitute for the employer’s lawful-basis assessment.
Separate kiosk PINs from account passwords
A worker uses a separate four-digit PIN on a paired shared kiosk. The device has limited clocking access and the owner can revoke it. Keep the tablet’s unlock PIN private and separate from worker PINs.
A PIN is not biometric proof of identity and cannot stop a worker voluntarily sharing it. Explain the attendance policy and review anomalies fairly.
Give access only where it is needed
Assign workplace and role access deliberately. Managers review permitted workplaces; payroll viewers can see and export approved hours within their access. Review membership when someone changes role or leaves.
CrewLoca does not take screenshots, record keystrokes or monitor continuous movement. Check the product privacy information and data-processing terms before introducing it.
Common questions
Does geofencing drain a phone battery all day?
CrewLoca requests location for clocking checks rather than continuously tracking movement. That avoids an always-running location feature; actual battery use still varies by device, signal, browser and usage. No fixed battery-saving percentage is promised.
Is there a GDPR-certified badge for these features?
These features are controls, not a certification. The employer must assess its own use and obligations. CrewLoca does not present a generic shield icon as independent GDPR certification.
