Website and development-preview terms
Current closed-service terms, dated 22 October 2026. These do not open paid subscriptions, start a chargeable trial, certify commercial readiness or replace a company data-processing agreement.
Current operator: Bradley Pearce, trading as CrewLoca.
Contact: support@crewloca.com
1. Operator and scope
Bradley Pearce, trading as CrewLoca, currently operates the service. Crewloca Ltd incorporation is planned and is not yet complete. Contact support@crewloca.com. The public website explains the product; existing authorised workspace access remains subject to the limitations below. CrewLoca is intended as a business attendance, review and export service.
New customer signup and live charging are disabled. Do not upload real workforce records to the public demo. Any expressly agreed existing written arrangement takes priority over conflicting preview wording. A privacy notice explains processing; it is not a substitute for a binding processor contract.
2. Authorised use and account security
Use only accounts and records you are authorised to access. A person managing a company workspace must have authority to act for that company. Keep sign-in details and codes private, use secure devices, review permissions and remove access promptly when responsibilities change. Tell us promptly about suspected unauthorised access.
Do not attempt to bypass permissions, disrupt the service, introduce malicious material, impersonate another person or use CrewLoca unlawfully. Do not put payment-card details, patient health information or unrelated sensitive records into the app. Report a suspected security weakness through support rather than accessing other people’s information.
3. Company responsibilities and records
The company determines its lawful attendance practices, informs staff, assigns appropriate access and checks whether location monitoring is necessary and proportionate. It is responsible for its employment, working-time, tax and payroll obligations and for the people it authorises to use its workspace.
Review clockings, breaks, corrections, exceptions and approvals before using exported hours. GPS, device clocks, connectivity and manual entries can be inaccurate. An offline entry remains pending until the server acknowledges it. Comparisons and flags assist human review; they do not prove productive work or decide anyone’s pay or employment status.
CrewLoca records attendance and exports approved information. It does not calculate or remit payroll, file tax returns, provide employment advice or guarantee compliance with a company’s legal duties.
The company must download and securely retain its required records outside CrewLoca, using a frequency appropriate to its payroll cycle and risk. We recommend exporting after each payroll period, after material corrections and before closing the account, with more frequent copies where needed. The intended normal attendance-retention period is a rolling 12 months, subject to lawful earlier deletion, unresolved reviews and specific holds. It is not a statutory long-term archive or an unconditional guarantee against accidental loss. Automatic expiry will require the company’s recorded acceptance and advance notices before activation; after activation, failure to export will not stop expiry. Current and proposed handling is explained in the privacy notice.
These customer responsibilities do not exclude CrewLoca’s own duties to use reasonable care, protect personal information, assist with rights or comply with an applicable processor agreement.
4. Information, confidentiality and intellectual property
Rights in customer records remain with their existing owners and data subjects. Uploading information does not transfer ownership to CrewLoca. The operator may use it only as needed to provide, secure and support the authorised service, follow lawful instructions or meet applicable law. Workforce information must not be used for unrelated advertising.
CrewLoca and its licensors retain rights in the software, branding and website materials. Authorised users may use them for the permitted service and download their own available records. Do not redistribute proprietary software or materials outside the permissions granted by law or the relevant licence.
Non-public workspace information and confidential support material must be protected and disclosed only where authorised, necessary to provide the service through appropriate recipients, or required by law. This does not prevent lawful reporting to a regulator or exercise of individual rights.
5. Preview availability, suspension and ending access
This remains a development preview and may change or be interrupted. No commercial uptime, recovery-time or recovery-point guarantee is offered. Maintain an appropriate alternative recordkeeping method before relying on it for business operations.
We may restrict affected access where reasonably necessary to protect information, respond to a legal requirement or address a material breach. Restrictions should be proportionate. Where practicable and lawful, we will explain the reason, provide a route to resolve it and preserve appropriate export access. An urgent security restriction may need to happen before notice.
A company owner can request closure through Help & your data or support. Closure and deletion require verification of authority and the applicable instructions, holds and legal duties. Ending an individual’s access does not by itself delete the company’s retained attendance history. We will provide notice of a planned preview withdrawal where practicable; an emergency may prevent advance notice.
6. Future commercial terms
Preview use does not itself create a paid subscription or authorise a charge. Website pricing describes the proposed launch offer; it is not an active checkout agreement. A future order must identify the legal supplier, price and taxes, billable accounts, trial and renewal dates, cancellation route and applicable terms before acceptance or payment authority.
Final commercial terms and the completed processing agreement must be provided before commercial onboarding. Neither a future incorporated company nor a payment obligation is created simply by changing this page.
7. Responsibility and applicable rights
We will use reasonable care in operating the preview and maintain security and recovery measures appropriate to the service and its risks. If records are lost, we will make reasonable efforts to recover them using available, usable recovery material and provider assistance where available. A supported supervised restore of a combined account/workforce database backup has been tested. Production recovery uses daily managed database points; new custom backup capture remains off. Recovery still requires the applicable settings, credentials, file dependencies and reconciliation of current access and deletion restrictions. Company downloads are record exports, not a supported company restore or undo service. We do not guarantee uninterrupted access, perfect location accuracy, zero data loss, complete recovery or recovery within a fixed time. These limitations do not remove our own legal duties or create a blanket exclusion of liability for our acts or omissions.
Nothing in these terms excludes or restricts liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or liability or rights that the law does not allow to be excluded or restricted. Statutory data-protection rights are not waived. No unapproved commercial financial liability cap is imposed by this preview notice.
These terms are governed by the law of England and Wales, subject to any mandatory law that applies. For business disputes, the courts of England and Wales have jurisdiction. This does not remove an individual’s mandatory right to complain to a regulator or bring proceedings in another competent court.
We will publish dated changes and give appropriate notice of material changes affecting existing use. A change cannot retrospectively create charges, remove accrued rights or authorise unrelated use of personal information.
