1. Find the shift to review
Open Timesheets, choose the pay-period dates and relevant workplace, and search for the person if needed. Choose View shift to inspect the recorded start, finish, unpaid breaks and any review issues.
Check that offline entries have reached the server. Resolve open shifts, missing records and correction requests before relying on the total.
2. Resolve changes before approval
Confirm the correct times and break deduction. Make any permitted correction with a reason so the original record and the change remain traceable.
Review overtime requests separately where applicable. Only approved overtime should reach payroll. If you cannot approve or correct a record, ask the owner to check your permissions.
3. Approve the checked hours
Use Approve when the completed shift is ready. Check that its status changes to Approved. Repeat the review for the remaining records in the period.
Approval records your review; it does not calculate wages or send a payment.
4. Hand over for export
Tell the owner or payroll viewer which period and workplaces are ready. They choose Export approved hours with the intended dates, people and workplace filters, then select spreadsheet (.xlsx), CSV, or PDF/print and download or open the report.
Open the spreadsheet in Excel or import it into Google Sheets. Reconcile the dates, people, break and approved-hour totals with the reviewed timesheets before handing it to payroll. Unapproved records are excluded.
Keep the approved export with your payroll records. CrewLoca prepares hours; your payroll process calculates and pays wages.
Common questions
Why is a person or shift missing from my export?
Check approval status, date range, person search and workplace filters. Also check your assigned access. A payroll viewer sees approved hours for their assigned workplaces only.
Can I fix a record by editing the spreadsheet?
Changing the downloaded file does not change CrewLoca’s source record. Resolve the correction in CrewLoca and produce an updated export so the records stay consistent.
